Two ways to book

Both give the Offsites team full visibility. They differ in who holds the pen.

Recommended

Self-serve on Fluid

Every employee gets access to the Fluid by Pickyourtrail app and books their own flight inside a policy you set. They pick their own routing, seat and timing. The Offsites team sees every booking as it happens.

  • Reschedules and cancellations handled by our team, not the employee
  • Arrival and departure transfers coordinated against live flight data
  • Single consolidated view of 100 itineraries across three regions
  • Removes the collection cycle entirely — no chasing preferred dates
  • Employees keep autonomy, HighLevel keeps the policy guardrails
Alternative

Managed booking

We collect preferred dates and routing from each delegate, then book the full manifest centrally. Best when HighLevel wants a single negotiated fare and total control of the manifest.

  • One negotiated group fare where inventory allows
  • Complete control of arrival and departure waves
  • Simplest reconciliation — one invoice, one manifest
  • Requires a collection cycle from 100 delegates

One item to resolve — cabin policy

The India block is a four-hour flight where economy is entirely reasonable. The US block is 13 to 16 hours landing into a working programme, and the return red-eye departs Dubai on the 11th and lands home the same day US time. Premium economy or business on the US 35 is worth pricing as an option.

One note on Day 4 pacing

A full day of outdoor team bonding followed by dune bashing and a desert dinner is a long day on the feet. We would run the bonding activity as a half day finishing by 13:00 and hold the afternoon free, so the group arrives at the desert fresh. It is the best venue of the week and worth protecting.

Why Pickyourtrail

Most agencies book a destination. We contract it.

That difference decides whether a shortlist becomes held space at the right rate, or a set of options that quietly disappear while you are still deciding. We hold direct commercial relationships with the hotels, DMCs and airlines, so there is no middle layer sitting between your budget and the room block.

Flights, rooms, ground movement and on-site delivery run on one contract, with one team accountable for all four. When something moves at 6am on day two, you make one call.
